California Notice at Collection/State Privacy Rights Notice: See the State privacy rights notice section below for important information about your rights under applicable state privacy laws.
Calyvent ("Calyvent," "we", "us" or "our") provides VetCarrier, an online service that lets freight brokers check a motor carrier by its MC number against public records of the Federal Motor Carrier Safety Administration ("FMCSA") and download the result as a one-page PDF. This Privacy Policy describes how Calyvent processes personal information that we collect through the VetCarrier website and service that link to this Privacy Policy (collectively, the "Service").
Personal information we collect
Information you provide to us. Personal information you may provide to us through the Service or otherwise includes:
- Contact data, such as your name and email address. Stripe Checkout asks for your name and email when you subscribe; we also receive your email address when you ask for a sign-in link, leave one on the feedback page, or email us.
- Communications data based on our exchanges with you, including when you contact us through the feedback page or by email: your message, the optional reply email address, and, for feedback, your browser’s user agent, the time, whether you were a paying customer, and the page you came from (a page on our site, or only the name of another website).
- Transactional data, such as information relating to or needed to provide your subscription: your Stripe customer and subscription IDs, the subscription status, the current billing period dates, a record of the version of the Terms you accepted and when, and, about the moment you subscribed: how many of your free checks you had used, whether you were already signed in, and the last carrier you checked on that page (its MC number, name and number of red flags). These are stored with your Checkout Session and subscription at Stripe. Stripe Checkout also gives us your billing country.
- Payment data needed to complete transactions, including payment card information. This is collected and processed directly by Stripe; we do not see or store your card number.
- MC numbers you enter. Each MC number you check is sent to the FMCSA to fetch the carrier record. We do not keep a history of the MC numbers you check; the only exception is the last carrier you checked before subscribing, saved with your purchase as described above. To spare FMCSA’s servers, the public carrier record for an MC number is reused for up to 10 minutes; that copy is not linked to you. The PDF is created in your browser and is not uploaded to us.
Third-party sources. We may combine personal information we receive from you with personal information falling within one of the categories identified above that we obtain from other sources, such as:
- Public sources, such as the FMCSA’s public carrier records. These records describe carriers, and for small carriers they can include the name and address of the owner.
- Service providers that provide services on our behalf or help us operate the Service, such as Stripe, which tells us your email address and the status of your subscription.
Automatic data collection. We and our service providers may automatically log information about you, your computer or mobile device, and your interaction with the Service, such as:
- Device data, such as your IP address, your browser’s user agent, browser type, operating system, device type (e.g., phone, tablet) and the country you are in. We use IP addresses only for rate limiting, in temporary counters.
- Online activity data, such as the pages you viewed (without anything after a question mark in the address), the website you visited before coming to the Service, how the page was opened, and page load timing. This is collected by Cloudflare Web Analytics, described in the next section.
We do not track whether you open our emails or click links in them.
Cookies and similar technologies
Some of our automatic data collection is facilitated by cookies and similar technologies. We use two strictly necessary cookies and no others:
- vc_free: a signed count of how many of your 3 free checks you have used. Kept for up to 1 year.
- vc_session: a signed reference to your Stripe customer ID, set after you subscribe or sign in, so we know you have unlimited checks. Kept for 30 days.
We do not set any cookies for analytics or advertising, and we do not run advertising trackers. Fonts are served from our own site.
Visit statistics. We use Cloudflare Web Analytics, a privacy-focused service, to count visits and see which pages and countries people use, so we know whether the Service is reaching the right people. For each page view it records the page address (without anything after a question mark), the website that sent the visitor, the visitor’s country, browser, operating system and device type, how the page was opened, and page load timing. We see totals and charts, not individual people.
According to Cloudflare, this service does not use cookies, localStorage or other client-side storage to collect these statistics, does not fingerprint individual visitors, and does not track individuals across other sites. We use it only to count visits. We do not use it for advertising or to build profiles.
Cloudflare also hosts the Service, so it receives your IP address like any web host when your browser asks for a page; its documentation for the statistics service does not list IP addresses among the data it reports to us. Cloudflare’s own handling of data is described in its privacy policy.
The sign-in confirmation page and the page you return to after paying are left out of these statistics on purpose, because their addresses contain private codes.
You can delete or block cookies in your browser settings. If you delete vc_session, you can sign in again by email; if you block cookies, the free check count and sign-in will not work.
How we use your personal information
We may use your personal information for the following purposes or as otherwise described at the time of collection:
Service delivery and operations. We may use your personal information to: provide the Service; enable security features of the Service, such as rate limits and one-time sign-in links; send you the emails the Service relies on (welcome, sign-in links, payment failed, cancellation, and a confirmation when you leave an email address with feedback); and provide support for the Service, and respond to your requests, questions and feedback.
When something important happens with a subscription (a new subscription, a failed payment or a cancellation) or someone sends feedback, we send ourselves an alert through Telegram so we can act on it. These alerts contain the customer’s name, email address and billing country, the subscription facts described above (free checks used, last carrier checked, Terms accepted, how long they were a customer, the payment failure or cancellation reason Stripe reports) and a link to the customer in our Stripe dashboard, or, for feedback, the message, the optional reply email address and the page it came from. They never contain card details.
Service improvement and analytics. We may use your personal information to analyze usage of the Service, improve the Service, and understand which pages are most and least visited, using the visit statistics described above.
Compliance and protection. We may use your personal information to: comply with applicable laws, lawful requests, and legal process, such as to respond to subpoenas, investigations or requests from government authorities; protect our, your or others’ rights, privacy, safety or property (including by making and defending legal claims); audit our internal processes for compliance with legal and contractual requirements or our internal policies; enforce the terms and conditions that govern the Service; and prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity, including cyberattacks and identity theft.
Data sharing in the context of corporate events. We may share certain personal information in the context of actual or prospective corporate events. For more information, see How we share your personal information, below.
To create aggregated, de-identified and/or anonymized data. We may create aggregated, de-identified and/or anonymized data from your personal information and other individuals whose personal information we collect. We make personal information into de-identified and/or anonymized data by removing information that makes the data identifiable to you, and we will not attempt to reidentify any such data. We may use this aggregated, de-identified and/or anonymized data and share it with third parties for our lawful business purposes, including analyzing and improving the Service and promoting our business.
Further uses. In some cases, we may use your personal information for further uses, in which case we will ask for your consent to use your personal information for those further purposes if they are not compatible with the initial purpose for which information was collected.
We do not send marketing emails, we do not use your personal information for interest-based or targeted advertising, and we do not use it to train artificial intelligence models.
Retention
We generally retain personal information to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements, establishing or defending legal claims, or for fraud prevention purposes. To determine the appropriate retention period for personal information, we may consider factors such as the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
When we no longer require the personal information we have collected about you, we may either delete it, anonymize it, or isolate it from further processing. Today, our retention periods are:
| Data | How long we keep it |
|---|---|
| Your subscription record (email address, Stripe customer and subscription IDs, status, billing period dates) | While you are a customer and afterwards, until you ask us to delete it |
| The link from your email address to your subscription, used for sign-in by email | The same as your subscription record |
| Feedback messages, the optional reply email, browser user agent, time and paying-customer flag | Until you ask us to delete them or we no longer need them |
| Sign-in links | Stored only as a scrambled (hashed) value, for 15 minutes; a record that a link was used, for 1 hour |
| IP addresses and a scrambled (hashed) form of email addresses in rate-limit counters | Deleted automatically, generally within about 2 days |
| Records that a Stripe event was processed, and that a given account email was already sent (these contain Stripe IDs, not your email address) | 7 days for processed events; up to about 13 months for sent-email records |
| Public FMCSA carrier records | Reused for up to 10 minutes per MC number; not linked to you |
| Visit statistics (Cloudflare Web Analytics) | According to Cloudflare, unsampled data for 7 days, then aggregated to roughly a 10% sample; up to six months of history |
| Payment and billing records held by Stripe, emails held by Resend, alerts held in our Telegram chat | As set by those providers, and for Stripe as required for tax and accounting, independent of our deletion process |
We do not keep our own request logs. Cloudflare, which runs the Service, processes requests as described in its own privacy policy.
Your choices
In this section, we describe the rights and choices available to all users. Users who are located in certain U.S. states can find additional information about their rights below.
Access, update or delete your information. The Service has no user accounts or profiles to edit. To ask what we hold about you, to correct it, or to have it deleted, email [email protected] from the email address concerned, or use the feedback page and include that email address. To verify a request, we confirm that you control the email address connected to the request: we either reply to the email address you wrote from, or ask you to complete a sign-in by the one-time link we send to that address. We may ask for more information if that is not enough to confirm who you are. We will then delete the records described in this policy that are held by us (your subscription record, the link from your email address to it, your feedback, and any pending sign-in links) and tell you what we deleted. Payment and billing records that Stripe holds stay with Stripe, as Stripe and the law require for tax and accounting.
Deleting your records does not cancel a paid subscription. Please cancel it first in the billing portal, or ask us to and we will cancel it for you.
Communications. We do not send marketing emails. The emails we send are the ones the Service relies on, described above.
Cookies and similar technologies. See Cookies and similar technologies above for the cookies we use and how to control them.
Do Not Track. Some Internet browsers may be configured to send "Do Not Track" signals to the online services that you visit. We currently do not respond to "Do Not Track" signals. The visit statistics we use do not track you across other sites (according to Cloudflare), and we do not use advertising trackers.
Declining to provide information. We need to collect personal information to provide certain services. If you do not provide the information we identify as required or mandatory, we may not be able to provide those services.
Other sites and services
The Service may contain links to websites and other online services operated by third parties, such as Stripe’s checkout and billing pages. These links are not an endorsement of, or representation that we are affiliated with, any third party. We do not control websites or online services operated by third parties, and we are not responsible for their actions. We encourage you to read the privacy policies of the other websites and online services you use.
Security
We employ technical, organizational and physical safeguards designed to protect the personal information we collect. However, security risk is inherent in all internet and information technologies and we cannot guarantee the security of your personal information.
International data transfer
We are based in the United States and use service providers that may operate in other countries. Your personal information may be transferred to the United States or other locations where privacy laws may not be as protective as those in your state, province, or country.
Children
The Service is not intended for use by anyone under 18 years of age. If you are a parent or guardian of a child from whom you believe we have collected personal information in a manner prohibited by law, please contact us. If we learn that we have collected personal information through the Service from a child without the consent of the child’s parent or guardian as required by law, we will comply with applicable legal requirements to delete the information.
Changes to this Privacy Policy
We reserve the right to modify this Privacy Policy at any time. If we make material changes to this Privacy Policy, we will notify you by updating the date of this Privacy Policy and posting it on the Service or other appropriate means. Any modifications to this Privacy Policy will be effective upon our posting the modified version (or as otherwise indicated at the time of posting). In all cases, your use of the Service after the effective date of any modified Privacy Policy indicates your acknowledging that the modified Privacy Policy applies to your interactions with the Service and our business.

If you have questions about our practices or if you would like to exercise any privacy related right that may be available to you, please contact us via one of the methods listed below.
- Email: [email protected]

This section describes how we collect, use, and share Personal Information of residents of these states and the rights these users may have with respect to their Personal Information. Please note that not all rights listed below may be afforded to all users and that if you are not a resident of one of these states, you may not be able to exercise these rights. In addition, we may not be able to process your request if you do not provide us with sufficient detail to allow us to confirm your identity or understand and respond to it. To verify a request, we confirm that you control the email address connected to the request: we either reply to the email address you wrote from, or ask you to complete a sign-in by the one-time link we send to that address. We may ask for more information if that is not enough to confirm who you are.
For purposes of this section, the term "Personal Information" has the meaning given to "personal data", "personal information" or other similar terms and "Sensitive Personal Information" has the meaning given to "sensitive personal information," "sensitive data", or other similar terms in the State Privacy Laws, except that in neither case does such term include information exempted from the scope of the State Privacy Laws.
Your privacy rights. The State Privacy Laws may provide residents with some or all of the rights listed below. However, these rights are not absolute and some State Privacy Laws do not provide these rights to their residents. Therefore, we may decline your request in certain cases as permitted by law.

Sale, sharing and opt-out preference signals. We do not sell personal information and we do not "share" it for cross-context behavioral advertising, so there is nothing to opt out of. If your browser sends the Global Privacy Control ("GPC") signal, we treat it as a request to opt out of the sale or sharing of your Personal Information, which our current practices already satisfy.
Exercising your state privacy rights. You may submit requests to exercise any of the state privacy rights listed above by email to [email protected], or through the feedback page. We will respond within the time required by the applicable State Privacy Law (for California residents, generally within 45 days, which the law allows to be extended in some cases).

However, we may need to verify your authorized agent’s identity and authority to act on your behalf. We may require a copy of a valid power of attorney given to your authorized agent pursuant to applicable law. If you have not provided your agent with such a power of attorney, we may ask you to take additional steps permitted by law to verify that your request is authorized, such as by providing your agent with written and signed permission to exercise your State Privacy Laws rights on your behalf, the information we request to verify your identity, and confirmation that you have given the authorized agent permission to submit the request.

Sources and purposes. We collect all categories of personal information from the sources and use them for the business/commercial purposes described above in the Privacy Policy.
Retention. The criteria for deciding how long to retain personal information is generally based on whether such period is sufficient to fulfill the purposes for which we collected it as described in this notice, including complying with our legal obligations.
